HAY Everyone, I received an answer from HDCC. Hope this helps.
We have two host hotels in Sisters where we have rooms reserved for "event participants only" since they are at a discounted group rate. I'm sure that they both have other rooms available also. Does your group plan on registering for our event or just coming to Sisters to visit? We have limited our registration this year to the first 100 cars due to space limitations. At this time we don't know what the registration fee will be - still making arrangements and calculating costs.
If you plan on registering to participate in the event, please let me know as I will be sending out a Preliminary Notice in a few weeks along with a list of things to do around the Sisters and Bend area. I would need email addresses so that I can also include you guys. The actual registration form will not be going out until January 2010.
The host hotels are as follows:
Best Western Ponderosa Lodge, 505 W Highway 20, Sisters, OR (541-549-1234)
-2- Queen Beds - $119.99; -1- King Bed - $129.99; & Aspen King Suite - $199.99
Sisters Inn, 525 W Highway 20, Sisters, OR (541-549-7829)
All rooms reserved at $99.00
Both hotels offer continental breakfasts.
If you are just planning on joining us for a visit, you are certainly welcome to view the corvettes at the Car Show on Saturday morning and visit with their owners. Our club members themselves will be really busy that weekend hosting the Event and then cleanup. I really wish we had some time to visit with you guys, but I just don't see it happening. Hopefully you will be participating.
I believe I've answered all of your questions at this time. If there are any more, please let me know. Also, please let me know as soon as possible if you plan on participating or just visiting.

Just thinking out loud here, but, in '07 at Carson city we stayed at the Holiday Inn Express, maybe I don't get out much but I thought it was a very nice accomodation with a beautiful free breakfast (all you can eat
) and for under a hundred bucks a night ($89, great deal). Are the prices that much different between Nevada and Oregon
? We're trying to save up for this so I appreciate getting an idea of what we're up against as far in advance as possible. Thanks everyone.

There is a Holiday Inn Express in Bend. The only thing is there will be driving involved to get to Sisters, around 25 miles each way. So now you have to add this to you driving tome and what is going on each evening. just my .02
During the NCM's 15th Anniversary Celebration over Labor Day a bunch of us stayed at an EconoLodge about 25 miles out of Bowling Green. I paid under $150 for 4 nights versus paying nearly that much for 1 night in Bowling Green. The driving back and forth was part of the fun of being there.
As far as the 2010 gathering is concerned, I would suggest that someone step up (or be volunteered) as the overall gathering coordinator and have a few others assist. Then look over the HDCC event agenda and decide how involved the C3VR gang should be. Also look at other activities in the area and how they could be woven into the overall C3VR agenda.
Then threads can be started to see who will be coming, lodging, activities, dinners, etc. Look at any of the forums of past gatherings for examples of how to organize things.

If I may suggest: Adam and some of the "OLD TIMERS" from the annual meetings could give some of us on the west coast some solid ideas of the type of events you all have enjoyed, liked, would like to do again. This would then be shared with a group of local volunteers to start setting some things into motion, see what we can do with the HDCC what type of events they are planning and what we would like to join into with them. I just think in would be a better use of time if we had a few people be the front members and then they delagate the needs of the group to the other volunteers.

Not trying to dodge the issue here, but the canvas is empty at the moment. I think it is safe to say that most everyone in the NW area has been to gathering at some point, C3VR or otherwise. Part of the charm of past gatherings is that they are unique. Sure there is a general format that the gatherings seem to follow, but each one has been different. Think back to Carson City as to what worked and what didn't. There was a car show that several of us participated in one evening, driving destinations each day and dining in the evenings. Look at the Hot Springs (2008) gathering forum for agenda items. John Grant did an outstanding job of pulling that gathering together.
But first and fore-most is to determine the level of involvement in the HDCC's schedule of events. That will determine the lion's share of the gathering's other agenda items.

I sure wish I could make it out there with you guys, but it's just too far for me. This will be my first missed gathering. I will be at the 2011 one for sure. You guys have fun out there and keep it under 100.

My vote is for Radar and Wetvet to co chair this deal, or split it up but be the point guys here. They have both already stepped in so what say you?
