Hello there.
I hope this message finds you and your family well in this crazy time in the history of our planet.
I know this is a lengthy message, but please take a few minutes to read it.
I am reaching out to you today to let you know that we have officially decided to POSTPONE the 2020 Member Gathering based on many factors. The first and foremost, of course, is the safety and well being of our members. Most of the country (and world) is under some sort of stay-at-home order right now with many lasting until at least the end of April. Given that we still are not sure that by May 14th it will be deemed safe to travel, and that even if it is, people may not be willing to travel so soon after the end of the confinement, it seems best and safest to not hold the event in Mid-May.
After speaking with Bryan (C3VR member "ateupjoe") who has been so kind to put together the event for us this year, we decided it was best to postpone until the Fall. Given the need to schedule around holidays, local events, weather, keeping the hotel stay affordable, etc, we came up with a new event date of October 22-24, 2020. While this may seem a little late in the season for some folks in the north, this is a great time to visit Texas!
So at this point, here is what is needed from you:
* IF YOU HAVE NOT YET SIGNED UP TO ATTEND, NOW YOU GET A SECOND CHANCE!
Simply go to the hotel thread (link below) to get hotel reservation information, book your room, and reply to the thread to tell us you're coming! (You have until September 21st to make your reservation at our special low group rate). If you think there is even the slightest chance that you will attend, I recommend you book now. You will be able to cancel your reservation up to 48 hours prior to your arrival date to cancel without paying any fees.
* IF YOU ARE CURRENTLY SIGNED UP TO ATTEND IN MAY AND CAN STILL JOIN US IN OCTOBER:
Your hotel reservation will be moved for you to the new dates. The cost is staying exactly the same! Once the hotel moves your reservation, you should get an email informing you of the update. That is one of the reasons I'm sending you this notice now, so you aren't surprised when you get the email from the hotel. If you already sent me money for a t-shirt, know that I will be updating the design to have the new dates. You'll get your shirt at the event, as originally planned.
* IF YOU ARE CURRENTLY SIGNED UP TO ATTEND IN MAY BUT CAN *NOT* JOIN US IN OCTOBER:Follow the link below to see hotel info. Call them to cancel your existing reservation. If you already sent me money for a t-shirt, know that I will be updating the design to have the new dates and I will be happy to ship your shirt to your home at my expense.Also, please reply to the hotel thread to let us know you can not make it so we can remove your name from the attendee list for our tracking purposes.
I'm sorry if this change doesn't work out for you. But I really hope you can still make it in October!
